Review Mode Guide
Learn how to enable and use Review Mode for maximum control over your PR pitches
Review Mode is an optional feature that gives you direct control over every pitch before it's sent to journalists. This guide explains when to use it, how to enable it, and how to get the most out of it.
What is Review Mode?
Review Mode adds a manual approval step to your PR workflow. Instead of pitches being sent automatically after our team reviews them, you review and approve each pitch before it goes out.

Who Should Use Review Mode?

Specific Use Cases:

❌ NOT Recommended For:
Most users should keep full autopilot enabled because:
- Our team already reviews every pitch for quality
- Autopilot sends at optimal times (often near deadlines)
- Manual review introduces delays that can reduce response rates
- You may miss opportunities if you can't review quickly
Review mode works best for:
- Low-volume profiles (1-10 pitches/day)
- Regulated content requiring compliance
- Situations where accuracy matters more than volume
How to Enable Review Mode
Step 1: Navigate to PR Profiles
Go to your dashboard → PR Profiles page
Step 2: Open Profile Menu
Click the ⋮ (three dots) menu next to the profile you want to configure
Step 3: Configure Review Settings
Click "Review Mode..." from the menu
A modal opens with two settings:
Setting 1: Enable Review Mode
Toggle this ON to require manual approval for all pitches from this profile.
Setting 2: Timeout Behavior (if Review Mode enabled)
Choose what happens if you don't review a pitch before deadline:
Auto-send on timeout (Recommended) – Pitch sends automatically if you don't review it. Maintains timing advantage while giving you review opportunity. Best for most review mode users.
Expire on timeout (Strictest) – Pitch expires and is NOT sent. You must approve every pitch. May miss opportunities if you can't review in time. Best for strict compliance requirements.
Step 4: Save Settings
Click "Save Settings" and your preferences take effect immediately for future pitches.
Using Review Mode
You'll Receive Notifications
When pitches need your review, you'll receive:
Hourly Digest Email:
- Batches all new pitches from the last hour
- Lists outlets needing review
- Shows earliest expiration deadline
- Sent once per hour (max 24 emails/day, not one per pitch)
Reminder Email (if needed):
- Sent 2-4 hours before expiration
- Only if initial digest was sent >4 hours ago
- Individual email per pitch approaching deadline
In-App Notifications:
- Real-time notifications in dashboard
- Click notification to review pitch
- Backup if email goes to spam
Review Pitches in Dashboard
You'll see:
- Yellow alert banner: "X Pitches Awaiting Review"
- Pitches in table with yellow "Pending Review" badge
- Click any pitch to open review modal
In the modal:
- Full pitch content
- Expiration countdown
- Edit Pitch button (optional)
- Edit content directly
- Compare with AI version
- Revert if your edit made it worse
- Approve & Send button (green)
- Reject button with feedback form
Approval Actions
Approve:
- Pitch queued for sending
- Badge turns green: "Approved - Sending Soon"
- Sent within 5-20 minutes
- You can still cancel approval before it sends
Edit then Approve:
- Click "Edit Pitch"
- See AI-generated version for comparison
- Make your changes (100+ character minimum)
- Save edits
- If pitch was already approved, approval is cancelled for safety
- Approve again to send edited version
Reject:
- Provide feedback (helps us improve)
- Pitch NOT sent
- Removed from queue
Revert Edits:
- Click to expand AI version
- Click "Revert to This Version"
- Your edits are discarded
- Back to AI-generated content
Review Deadlines
All pitches have review deadlines:
- Set to 5 minutes before journalist deadline
- Ensures time for system to send even if you approve at the last minute
- Shown in dashboard and email notifications
If you don't review in time:
- Auto-send enabled: Pitch sends anyway (you won't miss opportunity)
- Expire enabled: Pitch expires and is NOT sent (strictest safety)
Expired pitches:
- Show red "Expired" badge in dashboard
- Can still approve manually (override expiration)
- Count shown in alert banner: "3 expired this week"
Best Practices
Review Promptly
Check your dashboard daily (or when you receive digest emails). Pitches expire 5 minutes before journalist deadlines, so timely review prevents missed opportunities.
Use Edit Sparingly
Our team already reviews for quality. Edit only when you spot:
- Factual inaccuracies specific to your expertise
- Tone mismatches for your brand
- Missing context you can add
Small edits (fixing a stat, adding a detail) are perfect. Complete rewrites may reduce quality.
Compare with AI Version
When editing, expand the "AI-Generated Version" to compare. Sometimes the AI version is already optimal, and edits make it worse. Use the revert button if needed.
Set Realistic Timeout Preference
- High-volume profiles: Enable auto-send on timeout (prevents missing deadlines)
- Strict compliance needs: Enable expire on timeout (nothing sends without approval)
- Most users: Auto-send (balances control with coverage)
Monitor Expired Count
If you see many expired pitches, consider:
- Checking email more frequently
- Enabling auto-send on timeout
- Disabling review mode (let autopilot handle it)
Disabling Review Mode
You can disable review mode anytime:
- PR Profiles → ⋮ menu → "Review Mode..."
- Toggle OFF
- Save Settings
Future pitches will send automatically (after our team review). Existing pending reviews remain in queue.
Frequently Asked Questions
Will I get an email for every pitch?
No! Pitches are batched into hourly digests. If you have 10 pitches in an hour, you get ONE email listing all 10. Maximum 24 digest emails per day, plus occasional reminders for approaching deadlines.
Can I edit pitches after approving them?
Yes! Click the pitch again and edit. For safety, your approval is automatically cancelled when you edit. You must re-approve after seeing your changes. This prevents accidentally sending edited content without review.
What happens if I approve a pitch but then realize there's an error?
You have 5-20 minutes (until the auto-send cron runs) to cancel your approval. Open the pitch modal and click "Cancel Approval". The pitch returns to pending review.
Do expired pitches count against my guarantee?
No. Expired pitches are ones you chose not to approve. They don't impact your placement guarantee.
Can I have review mode on some profiles but not others?
Yes! Review mode is configured per-profile. You can have some profiles in review mode (e.g., medical content) and others on autopilot (e.g., general business).
Does review mode cost extra?
No. Review mode is included with all plans at no additional cost.
What if I go on vacation?
Either disable review mode temporarily, or enable auto-send on timeout so pitches don't expire while you're away.
Troubleshooting
Not receiving digest emails?
Check your spam folder. Add noreply@prbot.ai to your contacts. Verify your email in account settings.
Pitches expiring before I see them?
Enable auto-send on timeout in review mode settings. This ensures pitches send even if you miss the notification.
Want to stop review mode emails?
Disable review mode in profile settings. You'll stop receiving digest and reminder emails immediately.
Accidentally approved wrong pitch?
Click the pitch to re-open the modal and click "Cancel Approval" (available for 5-20 minutes after approval).
