Your First Steps

Navigate your dashboard, complete your PR Profile, and activate your automated PR outreach

Congratulations! You've completed checkout and now have access to PRBot. Here's what happens next and how to navigate your workspace.

What Happens Immediately After Signup

If you completed your PR Profile during the onboarding flow, you're already done! Our system is now working for you:

  • ✅ Your profile is active and sending pitches
  • ✅ AI is scanning opportunities 24/7
  • ✅ Pitches will start going out within 24 hours
  • ✅ You'll receive email notifications when pitches are selected or placed

You'll receive a welcome email with confirmation that everything is active. You can access your workspace anytime.

Understanding Your Workspaces

PRBot has two types of workspaces:

Personal Account Workspace

This is your main hub showing all your Sites (businesses/brands). After signup, you'll see:

  • Your list of Sites
  • Option to create additional Sites (if you have multiple businesses)
  • Account settings and billing

Access it: Click your profile icon → "Home" or go directly here

Site Dashboard

Each Site has its own dashboard for tracking PR performance. This is where you'll see:

Key Statistics (Top of Dashboard)

  • Total Backlink Value – Estimated dollar value of placed backlinks (based on Ahrefs/SEMrush data)
  • Placement Rate – Percentage of sent pitches that result in backlinks
  • Total Pitches – Breakdown by status (Sent, Selected, Placed)
  • Active Profiles – Number of active PR profiles

Filter by time period: Last 7 days, Last 30 days, Last 90 days, or All Time.

Pitch Status Table

View all your pitches with:

  • Pitch Preview – First 100 characters
  • Outlet / DR – Publication name and Domain Rating
  • Author – Which PR profile sent this (useful for multiple profiles)
  • Generated Date – When the pitch was created
  • Status Badge – Current status
  • Backlink Value – Estimated value for placed pitches

Search pitches by keyword, filter by status, sort by any column, or click any row to view full pitch details including the complete pitch text and journalist request.

Pitch Status Meanings

  • Generated – Pitch created, waiting for PR expert review
  • Sent – Reviewed and submitted to journalist
  • Selected – Journalist chose your quote (congratulations!)
  • Placed – Article is live with your backlink (success!)

Analytics Charts (Bottom of Dashboard)

Three charts showing backlink quality and diversity:

  1. Backlinks Breakdown – DoFollow vs NoFollow/Unlinked mentions
  2. Domain Authority Distribution – Backlinks grouped by DR ranges (0-10, 11-20, 21-30, etc.)
  3. Referring Domains – Top-level domains (.com, .org, etc.) your backlinks come from

Access it: Click any Site from your Personal Account workspace, or use the sidebar when viewing a specific Site.

Managing Your PR Profile

Most users complete their profile during onboarding. To update or complete your profile:

  1. Go to your workspace and click on your Site
  2. Navigate to Profiles from the sidebar
  3. Click your PR Profile card to expand settings

Quick Profile Checklist

Required fields:

  • First Name, Last Name, Job Title
  • Profile Email
  • Business Website (where journalists will link back to in articles)
  • LinkedIn URL
  • Professional Headshot
  • Backlink Bio (the most important field!)

Important: Your Backlink Bio is the primary source our AI uses to craft pitches. A detailed, compelling bio dramatically improves your placement success. Journalists primarily link to your website in articles, sometimes to your LinkedIn, and rarely to other social profiles.

Activating Your Profile

If your profile wasn't activated during onboarding, toggle the "Activate Profile for PR Outreach" switch to ON.

What activation means:

  • Profile becomes active and starts matching with journalist opportunities
  • Pitches begin being generated and sent
  • Consumes one profile slot from your subscription plan

Before you activate: Complete all required fields (marked with asterisks). The system won't let you activate an incomplete profile.

What Happens After Activation

Timeline:

  • Within 1 Hour – AI scans requests, generates first pitches (typically within 4 hours)
  • Within 24-48 Hours – PR experts review and submit pitches to journalists
  • 72+ Hours (3+ Days) – First pitches selected, email notifications sent
  • Within First Week – Most users get first placement, momentum builds
  • First 30 Days – Guaranteed minimum backlinks delivered (3-5 depending on plan)

You'll Receive:

  • Email notifications when pitches are selected or placed
  • Dashboard access to track pitch counts, publications, and backlink performance

Managing Multiple Profiles

Create additional PR profiles for team members, clients, or different brands. Each profile operates independently with its own bio, topics, and tracking.

How Profile Slots Work:

A profile slot is "consumed" when you activate a profile for PR outreach. You can:

  • Deactivate a profile to free up a slot (in your site's Profiles section)
  • Create multiple profiles but keep only the allowed number active
  • Purchase additional slots or upgrade to Agency plan for 3 included slots

Plan Limits:

  • Starter/Pro Plans: 1 active profile
  • Agency Plan: 3 active profiles

Profile Management Tips

Keep Your Profile Updated – If your credentials change (new achievement, speaking engagement, book publication), update your bio. Better credentials lead to better placements. Our system also automatically monitors your social profiles and website for updates to keep your AI agent current.

Topic Selection (AI-Powered) – If you've enabled "AI Topic Matching" on your PR Profile, you don't need to worry about topic selection. Our system constantly updates your topics and adds new relevant ones as they become available. If you're managing topics manually, review which opportunities convert best after a month and adjust accordingly.

LinkedIn Matters – Journalists often check LinkedIn profiles to verify credentials. Keep yours up-to-date and professional.

You Can Deactivate Temporarily – Need to pause PR outreach? Toggle your profile to inactive. Reactivate anytime without losing your setup.

Common Questions

Do I need to do anything after activating my profile? No! The system is fully automated. Just watch for email notifications when pitches are selected or backlinks are placed.

Can I edit my profile after activation? Yes, absolutely. Your profile auto-saves changes. Updates take effect for future pitch generation.

How do I know if my profile is working? Check your dashboard to see pitch activity. You should see "Sent" pitches appearing within 24-48 hours of activation.

What if I'm not happy with my profile? You can edit anything at any time. Your bio, topics, and information directly influence the pitches we create, so keep refining until you're satisfied.

Can I see pitches before they're sent? The system is designed to be fully automated with expert human review before sending. While you can't preview individual pitches, you can view all sent pitches in your dashboard after they go out.

Do journalists see my Backlink Bio? No. Your Backlink Bio is private and only used to train your personalized AI agent and guide pitch generation. Journalists see all other fields (name, job title, company, LinkedIn, headshot) but never your bio. The bio helps our AI understand your credentials and craft compelling pitches on your behalf.
