How PR Bot Uses Artificial Intelligence

1. Journalist Query Matching (Automated Decision-Making)

What It Does: Our AI systems analyze incoming journalist queries from various media opportunity platforms and match them to user profiles based on stated expertise, credentials, and experience.

Technology Used: Natural language processing (NLP) and semantic matching algorithms powered by enterprise AI providers.

Automated Decision: The system automatically determines whether a query is relevant to your profile based on expertise matching.

Your Control:

  • You define your areas of expertise in your profile settings
  • You can adjust relevance sensitivity to receive more or fewer matches
  • You can review all matched queries before responses are sent (if enabled in settings)

2. Response Generation (AI-Assisted Content Creation)

What It Does: When a relevant journalist query is identified, our AI generates a draft pitch or response based on your profile data.

Technology Used: Enterprise AI services from industry-leading providers.

Human Involvement in Content Production

Our Current Workflow: Our content production process includes human involvement in reviewing AI-generated pitches before they are sent to journalists.

Our review workflow includes:

  • Comparing AI-generated content against your profile data
  • Assessing tone and professionalism
  • Evaluating relevance to the journalist's query

Future Options: We may offer automated sending as an optional feature for users who prefer faster outreach. Human review options will remain available in your settings.

Data Used for Personalization: The AI uses the following data to generate content tailored to you:

  • Information you provide about your expertise and credentials

  • Your communication preferences and tone settings
  • General knowledge from the AI provider's base models (not specific to you)

Your Control:

  • You can disable “Automatic Pitch Sending” in settings to require manual approval for all pitches
  • When automatic sending is disabled, pitches stay in “generated” status until you manually review and approve them
  • You can edit AI-generated responses before sending them to journalists
  • You can deactivate profiles entirely to stop all pitch generation

3. Quality Evaluation (Automated Quality Control)

What It Does: AI systems evaluate the quality of generated pitches for accuracy, relevance, and professionalism before sending.

Technology Used: Automated quality evaluation systems with human involvement in the review process.

Third-Party AI Services

PR Bot uses enterprise AI service providers to generate content on your behalf. For a complete list of our sub-processors and detailed data processing information, please see our Data Processing Information page.

Important Notice About Your Data and AI

Your profile data is sent to third-party AI service providers to generate responses on your behalf. According to our vendor agreements:

  • Your data is NOT used to train public AI models
  • Data may be retained temporarily by providers for trust and safety monitoring (retention periods vary by provider; see our Data Processing Information page for provider-specific details)
  • We have Data Processing Agreements with each provider ensuring GDPR-compliant data protection

Ownership of AI-Generated Content

All AI-generated content created through PR Bot — including pitches, responses, and drafts — belongs to you. PR Bot does not claim ownership of any content generated on your behalf. You are free to use, modify, and distribute this content as you see fit, subject to the Terms of Service.

How PR Bot Makes Money

PR Bot generates revenue exclusively through subscription fees and service charges paid by our users. We believe this is important to disclose because it means our financial incentives are directly aligned with your success — we make money when you succeed, not when we monetize your data.

  • We do not sell your data to third parties
  • We do not monetize your profile information
  • We do not sell advertising or allow advertisers to target you based on your usage patterns
  • We do not broker your data to data aggregators or information brokers
  • We do not license your content to AI model training companies

Your Rights Regarding AI

Regardless of what any specific regulation requires, PR Bot voluntarily commits to the following rights for all users:

  • Human Involvement: Our current workflow includes human involvement in reviewing pitches before sending. If we introduce automated sending options in the future, you will be able to enable manual review via your settings.
  • Right to Explanation: You can request an explanation of how the AI matched you to a specific query.
  • Right to Challenge: You can contest AI matching decisions you believe are incorrect by contacting support.
  • Right to Opt Out: You can deactivate your profile at any time to stop all automated processing.

Known Limitations

We are transparent about the limitations of AI systems used in PR Bot:

  • Hallucinations: AI models may occasionally generate plausible-sounding but factually incorrect information. Our workflow includes human review as part of the production process to help identify such issues, though no review process can catch every error.
  • Context Understanding: AI may misinterpret subtle nuances in journalist queries or your expertise areas. Our review process is designed to help identify these mismatches, though it may not catch every instance.
  • Bias: AI models may reflect biases present in their training data. We monitor our outputs and work to mitigate bias when identified.
  • Credibility Assessment: AI cannot verify the truthfulness of credentials or expertise claims you provide. You are responsible for the accuracy of your profile information.

How We Monitor for Bias

Data Used by Our AI Systems

Profile Data Used for AI Personalization

To personalize AI-generated content for you, we provide the following data to our AI systems as context:

  • Professional Information: Credentials, job titles, company affiliations, expertise areas
  • Public Content: LinkedIn profile, personal website content, published work (if linked)
  • Communication Style: Tone preferences, writing style examples (if provided)
  • Historical Performance: Previous successful pitches and journalist feedback

How Third-Party AI Providers Handle Your Data

Your profile data sent via API is NOT used to train public AI models. According to the API terms of our providers, API data is processed to generate responses and may be retained temporarily for trust and safety purposes, then deleted. Retention periods vary by provider.

PR Bot does not train, fine-tune, or create custom AI models using your data. We use third-party AI APIs to process your profile information and generate content. Your data is provided as context in each request and is not stored by AI providers beyond their stated retention periods for safety monitoring.

Transparency in Communications

Journalist Disclosure Policy

When our AI systems help generate communications with journalists on your behalf, we include appropriate disclosures:

  • Responses include a footer indicating they were facilitated through PR Bot
  • Journalists are informed that content was reviewed by you (the expert)
  • Your authentic credentials and contact information are provided
  • We never misrepresent AI-assisted content as purely human-written

AI System Updates & Changes

As AI technology evolves, we may update our systems. When we make significant changes to how AI is used in PR Bot, we will:

  • Notify users via email at least 30 days before changes take effect
  • Update this AI Transparency Policy
  • Provide opt-out mechanisms if changes materially affect automated decision-making
  • Allow users to review and update their AI preferences and settings

Security of AI Systems

We implement multiple security measures for AI systems:

  • Input Validation: All profile data is sanitized before being sent to AI models
  • Output Filtering: AI-generated content is scanned for inappropriate or harmful content
  • Prompt Injection Mitigation: We employ measures to reduce the risk of adversarial prompt manipulation
  • Rate Limiting: AI API usage is monitored and rate-limited to prevent abuse

Compliance with AI Regulations

EU AI Act Compliance

PR Bot is classified as a limited-risk AI system under the EU Artificial Intelligence Act (Regulation (EU) 2024/1689). PR Bot does not fall within any Annex III high-risk category (biometric identification, critical infrastructure, employment, essential services, law enforcement, migration, or administration of justice). As a limited-risk system, our obligations arise under Article 50 (transparency for AI-generated content).

Article 50 Obligations — How We Comply

  • Article 50(1) — AI Interaction Disclosure: Users are clearly informed throughout this policy and in-product that they are interacting with AI-powered systems for query matching, pitch generation, and quality evaluation.
  • Article 50(2) — Machine-Readable Marking: AI-generated text outputs are marked in accordance with applicable technical standards to ensure detectability as AI-assisted content.
  • Article 50(4) — AI-Generated Text Disclosure: All pitches sent to journalists include a disclosure that the content was AI-assisted and facilitated through PR Bot. Article 50(4) provides an exception where AI-generated content has undergone human review or editorial control — our human-in-the-loop workflow satisfies this condition, but we disclose AI involvement voluntarily as a matter of principle.

Full enforcement of Article 50 transparency obligations takes effect August 2, 2026. PR Bot is proactively compliant ahead of this deadline and monitors the EU Commission's Code of Practice on Transparency of AI-Generated Content for additional guidance.

FTC Compliance — Substantiated AI Claims

In accordance with Section 5 of the FTC Act and guidance from the FTC's Operation AI Comply enforcement actions, PR Bot:

  • Does not misrepresent the role of AI — we clearly disclose where AI is involved in our workflow

Applicable Use Policy

Our Acceptable Use Policy sets out specific rules for how AI features may and may not be used on our platform, including prohibited uses such as misrepresenting AI-generated content, providing false credentials, or using the platform to deceive journalists.

AI Incident Reporting & Response

If you encounter AI-generated content that is inaccurate, harmful, biased, or otherwise problematic, we want to know about it. We take all reports seriously and investigate each one.

  • How to Report: Email support@prbot.ai with the subject line “AI Incident Report” and include the relevant pitch or content ID, a description of the issue, and any supporting information.
  • Acknowledgment: We will acknowledge your report within 2 business days.
  • Investigation: Our team will review the incident, identify root causes, and determine appropriate corrective action.
  • Resolution: We will notify you of the outcome within 30 days of your report. If the issue requires prompt, filtering, or system changes, we will implement them and update our processes accordingly.

Changes to This Policy
